The Ministry teacher evaluation: building the appraisal file as the year happens

Each evaluation item needs evidence. Here is how schools can gather it week by week, so teachers and Heads of Department aren’t rebuilding portfolios in the final week.

The yearly evaluation and its evidence

Teachers in Saudi schools are evaluated each year against a set of performance items. They cover professional duties and the learning environment, through preparing and carrying out the learning plan, varying teaching strategies and assessment methods, analysing learners’ results, to engaging with parents and the professional community. For each item, the teacher’s evaluator looks for evidence (شواهد).

In practice, evidence is often assembled at the end of the year: teachers search their drives and phones, print what they find and file it by item. It is time-consuming, it rewards organisation over practice, and gaps appear too late to do anything about them.

A better rhythm

  1. Decide which routine work counts for which item. Weekly lesson plans support “preparing and carrying out the learning plan”; test analyses support “analysing learners’ results”; parent communication logs support “engaging with parents”.
  2. Tag when the work is approved, not in June. If a folder always counts for the same item, make that the folder’s default.
  3. Let observations and training count. A lesson observation can show classroom management and varied strategies; a workshop shows engagement with the professional community.
  4. Review coverage mid-year. A Head of Department who can see that a teacher has no evidence for an item in January can plan support, not penalise in June.
  5. Print when it’s needed. The file is a by-product of the year, not a project.

The items your school uses may be updated; check them against the current official form and adjust them in TeachFolio.

How TeachFolio helps

  • The 11 evaluation items are built in, in Arabic and English, marked as a draft for your school to check and adjust.
  • Folder defaults and one-tap tagging connect work to items as it is handed in.
  • Observations, goals and training count as evidence alongside hand-ins.
  • The appraisal file (ملف شواهد الأداء) shows each item with its evidence and coverage, printable and included in exports.
  • Insights and the tracker let Heads of Department spot gaps early.

When the file builds itself, the appraisal conversation can focus on practice and growth, not on paperwork.
